Eleven ways freelancers keep their money straight

People often ask us what the Geseto app looks like once it is actually in use. This page answers that with eleven real-world setups, from a wedding photographer logging mileage to a translator splitting invoices across three currencies. Each one shows what the person needed and how they set the app up.

Real setups, explained plainly

Each card below describes one freelancer's situation. Open the details to see what we configured and what changed in their day-to-day bookkeeping. Names are first names only, and the figures are kept general.

Freelance photographer reviewing monthly income on a phone Photography

Wedding Photographer Mileage Log

A Leeds photographer drove to venues across West Yorkshire most weekends and lost track of fuel and mileage. We set up trip categories and receipt capture so every journey is logged in under ten seconds.

Translator organising invoices in several currencies Translation

Multi-Currency Invoice Tracker

A translator invoiced agencies in pounds, euros and dollars. We built a view that shows each payment in its original currency and in pounds, so the monthly total is never a guess.

Web developer comparing project income on a tablet Web Development

Project-Based Income Dashboard

A web developer ran four client projects at once and could not tell which one paid best. We tagged income and costs per project so profit per job is visible at a glance.

Graphic designer sorting software subscriptions Design

Subscription Cost Cleanup

A graphic designer was paying for nine software subscriptions and forgot half of them. We grouped recurring costs into one list with renewal reminders, which made the unused ones easy to spot and cancel.

Copywriter checking tax set-aside figures on a phone Writing

Tax Set-Aside Pot for a Copywriter

A copywriter dreaded the January self-assessment bill. We added a running tax pot that sets aside a chosen share of each payment, so the money is already put away when the deadline arrives.

Personal trainer recording session payments after a class Fitness

Session Payments for a Personal Trainer

A personal trainer took cash, bank transfers and card payments across gyms and park sessions. We created quick-entry buttons per client so each payment is recorded right after the session ends.

Video editor tracking equipment purchases Video

Equipment Purchases for a Video Editor

A video editor bought cameras, drives and lenses through the year. We set up an equipment category with photo receipts attached, giving a clean list to hand over at tax time.

Tutor viewing a weekly earnings chart on a phone Tutoring

Weekly Earnings View for a Tutor

A maths tutor taught evenings and weekends and wanted to see whether the hours were worth it. We built a weekly chart of income against time spent, which showed which students were most worthwhile to teach.

Consultant reviewing late invoices on a laptop and phone Consulting

Late Invoice Reminders for a Consultant

A consultant had several invoices sitting unpaid for weeks. We added due-date alerts and a simple overdue list, so chasing payments became a five-minute Monday task instead of a vague worry.

Illustrator splitting home studio costs on a phone Illustration

Home Studio Costs for an Illustrator

An illustrator working from a spare room was unsure how to split electricity, broadband and rent between home and business. We set up shared-cost rules with a fixed percentage, applied automatically to each bill.

Freelance accountant exporting a year-end report Year-End Reports

Year-End Export for an Accountant's Hand-Off

A freelance marketer needed to send a tidy summary to their accountant each April. We built a one-tap export grouping income and expenses by category, with receipts linked, so no spreadsheet clean-up is needed.

How a setup is organised

If you are wondering what happens after you get in touch, here is the order we follow. Most setups take a few short conversations, not weeks of back-and-forth.

1

A short intro call

We ask how you earn, how you get paid and what currently goes wrong. We usually reply to a request within an hour during opening times.

2

Mapping your categories

Together we list your income types and cost types, then turn them into categories that match how you already think about your work.

3

Configuring the app

We set up tags, recurring costs, reminders and any currency or mileage rules, then walk through each screen with you on your own phone.

4

A follow-up check

After a few weeks we look at your entries together, fix anything that feels clumsy and adjust the categories if your work has shifted.
